Electronic Club Communications

Postby AllanandJackie » Sat Jul 07, 2012 5:13 pm

We have been reviewing the cost to service our members with published materials such as our Flyer, Rally book and Handbook which we distribute via mailings to every member over the year.
As you know the cost of postage has increased considerably this year and we are looking at ways to avoid the Club’s overheads increasing as a result of this.

We currently distribute three FLYERS a year, one RALLY BOOK a year and one HANDBOOK to new members when they join the Club and to every member when we make an amendment to our constitution, or at least once every THREE years.

Current Members will now have an ‘OPT OUT’ option for receiving the FLYER in hardcopy and to have it replaced with an electronic transmission via their E-Mail address.
It’s proposed that the RALLY BOOK and HANDBOOK will be combined and continue to be hard copied and posted to our membership.
New members to the Club who provide an E-Mail address will automatically receive electronic copies unless they advise us otherwise.
Members who do not reside in the UK will be automatically opted out.

The above proposal has a potential to save the Club a considerable sum of its overhead cost if the membership majority are prepared to undertake this change.

Note: If you decide to OPT OUT and your circumstances change for any reason you can revert back to hardcopy posted by simply informing the Club Secretary.

An update on this subject.

All communications from the Club, that's the eFlyer, the eRallybook and the eHandbook as their description suggest are delivered to well over 90% of our membership electronically.

This has allowed us to double up on the number of times we communicate to our membership with the eFlyer, from 3 issues to 6 per year for no extra cost. Those members on hard copies receive a double edition 3 times per year.

These actions have been very successful for our Club not only in containing our overhead costs but allowing us to update members of events and changes/additions to our programmes etc.

I'd like to thank all members who had the option for change that did, and those that can change that didn't to maybe reconsider.
